Every dish has a real cost. Now you can actually see it.
Kitchfly is all-in-one restaurant software: it calculates the cost and food cost % of every recipe in real time, updated every time you log a purchase — no spreadsheets going stale in the background.
Costs update instantly
Every purchase you log recalculates the cost of every recipe that uses that ingredient.
No more spreadsheets
Ingredients, recipes, and inventory live in one place — not an Excel file nobody keeps up to date.
Built for independent restaurants
From a single kitchen to a growing group, without a dedicated finance team to run it.
Take full control of your costs and profit margins
Forget manual spreadsheet math. Kitchfly reads the food cost, fixed costs, and ingredients behind every recipe in real time — then tells you the right price to charge and flags any dish that stops being profitable.
Real-time financial control
- Automatic food cost & margin. Real cost, sale price, fixed costs, and net profit for every dish, instantly.
- Key monthly metrics. Total revenue, purchases, and net profit at a glance.
- Break-even tracking. A live progress bar showing how close you are to covering your fixed costs.
- QuickBooks Online sync. Daily sales, sales tax, tips, and supplier bills flow into QuickBooks automatically every night — your accountant sees it all without retyping a thing.
Smart price optimization
- Automatic price suggestions. Kitchfly reads your costs and ingredients and suggests the sale price that protects your margin — e.g. targeting a 30% food cost.
- Critical dish alerts. A dedicated view flags dishes with red margins or underperforming pricing that need attention now.
- One-click apply. Update a suggested price directly on your menu — no manual math.
Inventory & supply control
- Low-stock alerts. Automatic warnings on key ingredients before they run out mid-service.
- Smart reorder suggestions. Kitchfly uses your actual usage and minimum stock to tell you what to order from each supplier — send it by WhatsApp and turn it into purchases when it arrives.
- Suppliers & purchasing. Log purchases and keep a recipe/ingredient catalog tied directly to menu cost.
Sales reports
- Busiest hours and days. See which hours and weekdays sell the most, to schedule staff and prep.
- Sales and tips by server. Orders, net sales, average ticket, and tips for every server on your team.
- Payments, discounts & refunds. Cash vs. card, discounts used, comps, voids, and refunds for any period.
- Actual vs. theoretical food cost. Compare what your recipes say you should have used with what really left your inventory, ingredient by ingredient — and see how much waste is costing you.
- Profit by dish and category. Units, sales, cost, profit, and food cost % for everything you sold.
- Export to Excel or PDF. Pick any date range and download it, ready for you or your accountant.

Frequently asked questions
Is Kitchfly for any kind of restaurant?+
It's built for independent restaurants — from a single food truck or café to a growing group with several locations. There's no limit on how many locations you add. If you're tracking costs in Excel or from memory, it's for you.
How do my recipe costs stay updated?+
Every time you log a purchase at a new price, Kitchfly automatically recalculates the cost of every recipe that uses that ingredient.
Do I need special hardware for the POS or KDS?+
No. Kitchfly runs in the browser, so you can use a tablet, a computer, or a phone at the register or in the kitchen.
What happens if the internet goes down?+
The server POS keeps working. Your team can keep taking new orders, print receipts and kitchen tickets, and charge the full bill in cash. Orders are saved on the device and sync automatically when the connection comes back. Card payments, split bills, and discounts or voids wait until you're back online.
Do you charge a commission on online orders?+
No. Online ordering is included in both plans with 0% commission from Kitchfly — no per-order fees, no percentage of your sales. Customers pay by card through your own Square account, so the money goes straight to you; only Square's standard card processing fee applies. Orders are for pickup, and you can pause or turn off online ordering anytime.
Can I take catering orders or orders for another day?+
Yes, in both plans. Customers can schedule online orders for another day, and you can mark items like cakes or trays as pre-order only. For catering, build a quote with per-person packages and see your profit before sending it; the customer accepts and pays the deposit online through your Square account. Customers can also request a quote from your ordering page.
Do I get a website for my restaurant?+
Yes. Both plans include a website at yourname.kitchfly.com, built from your Kitchfly menu: home page, full menu, hours, map, and buttons to order online, call or get directions. It updates on its own when you change a price or a dish, comes in English and Spanish, and is ready for Google. With the Pro plan you can use your own domain, like www.yourrestaurant.com.
Can customers order and pay on their own?+
Yes, with the self-service kiosk, included in both plans. Put any tablet on the counter: guests order with photos and options, then pay by card on a Square Terminal or at the register with their order number. Orders go straight to the kitchen display, and the kiosk works in English and Spanish.
Does Kitchfly track expiration dates?+
Yes, in both plans. Set how many days each ingredient lasts and every purchase gets its expiration date (you can change it to match the label). Kitchfly works out what's left of each delivery, shows what expires soon, alerts you every morning and lets you log what was thrown out as waste — on the admin screen and on the kitchen display.
Can guests order and pay from their table?+
Yes, on the Pro plan. Each table gets its own QR code. Guests see your menu, order rounds that go on the table's check, call the server and pay by card — the whole check or split evenly, with a tip — or ask to pay cash. Your server sees every order and payment on the POS, and you choose whether orders need the server's approval before reaching the kitchen.
Can my team clock in and out with Kitchfly?+
Yes. Servers and kitchen staff clock in, take breaks and clock out from the same POS or kitchen screen they already use. You set each person's hourly rate or salary and your own overtime rules, and Kitchfly shows labor cost, labor %, prime cost and sales per labor hour — plus a payroll-ready export. It's included in both plans.
Does Kitchfly have a loyalty program?+
Yes, in both plans. Turn it on and choose stamps per visit (for example, 10 visits = $5 off) or points per dollar, and the reward: money off or a free dish. Customers earn at the POS by giving their phone number, when they order online and from the table QR, and the receipt shows their progress. Kitchfly also builds your customer list automatically, with visits, spend and segments like regulars and at-risk guests.
Can guests book a table online?+
Yes, on the Pro plan. Guests book from your own page with the hours, party sizes and turn times you set, and get an email confirmation and reminder. Your host manages the night and a waitlist from the same screen, and reservations show on the table map your servers already use.
Can customers see when their order is ready?+
Yes. Open the order board on any smart TV or screen: it shows counter, dine-in and online orders as “Preparing” and “Ready” with the order number and a short name, plays a chime when an order is ready, and rotates your promotions. It's included in both plans.
Does it help with health inspections?+
Yes. The food safety log records receiving, fridge, freezer, hot-holding and cooking temperatures, cooling and your opening and closing checklists — from the kitchen display or any device — and alerts you when something is out of range. Print a clean PDF for any date range when the inspector asks.
Can Kitchfly give me a P&L?+
Yes. The monthly P&L puts together your sales, cost of goods from your inventory counts, labor with payroll taxes and your operating expenses, compared with last month and last year, for one location or all of them. You also get prime cost every week. Export it to PDF or Excel for your accountant.
What reports do I get?+
Sales by hour and day of the week, by server (including tips), by payment method, and by dish and category with cost, profit, and food cost %, plus actual vs. theoretical food cost by ingredient. Pick any date range and export it to Excel or print it as a PDF. Included in every plan.
Does Kitchfly work with QuickBooks?+
Yes. Connect your QuickBooks Online company in a couple of clicks and choose which accounts to use. Every night Kitchfly sends the previous day's sales (split by cash and card, with sales tax and tips) as a journal entry, and your supplier purchases as bills. Included in every plan.
Can I use it in Spanish?+
Yes — the system is fully available in both English and Spanish, and you can switch between them anytime from inside the app.
What if I have more than one location?+
There's no limit on locations. Both plans are billed per location, so you simply add each location you need and choose Basic or Pro for each one — you can even mix plans, like Pro for your dine-in restaurant and Basic for your food truck. Add a location from My Account and copy your menu in one click; your team signs in once and only sees the locations you assign them, and Reports compares every location side by side.
Is there a Windows or Android app?+
Yes. Kitchfly works in any browser, and for the register computer there's Kitchfly for Windows: it prints receipts and kitchen tickets straight to your printer without the print dialog, has a kiosk mode with a PIN and updates itself. For your servers' tablets there's Kitchfly for Android: it prints to Bluetooth or network printers, keeps the screen on and has kiosk mode too. Download them here.
Can I take my data with me?+
Yes, your data is yours. From My Account you can download everything anytime — menu, recipes, inventory, purchases, sales and cash drawer — as Excel files, even if your trial ended. If you stop using Kitchfly, you can also delete a location or your whole account there: access is locked right away and everything is permanently deleted 30 days later, unless you change your mind first.
